Job DescriptionThis is a remote position.Position OverviewWe are seeking a highly organized, proactive, and adaptable Virtual Assistant to support two business owners in both professional and personal endeavors. This role will involve managing operations across multiple ventures (healthcare, real estate, and short-term rentals) as well as assisting with household and personal tasks. The successful candidate must be comfortable working with two individuals as equal stakeholders, coordinating between them, and maintaining confidentiality.Key Skills & Qualifications- Strong organizational and time-management skills- Excellent written and verbal communication skills- Ability to manage calendars, schedules, and event logistics- Proficiency with AI tools, word processing, spreadsheets, and online scheduling platforms- Experience with light bookkeeping, expense tracking, and recordkeeping- Familiarity with social media platforms (posting, engagement, reputation management)- Ability to multitask and prioritize across multiple business and personal projects- Comfortable coordinating with vendors, contractors, and clients- Professional phone and email etiquette; experience managing inbound calls- Creative problem-solving skills with a process-improvement mindset- High degree of discretion and confidentialityRoles & ResponsibilitiesShared Responsibilities- Manage and maintain a global calendar for business, family, and personal events- Assist with scheduling appointments, meetings, and travel- Coordinate with contractors, vendors, and service providers for household and personal tasks- Provide light bookkeeping and recordkeeping support across personal and business needs- Manage shared communications via email, phone, and text- Assist with creating and improving processes for better efficiencyHealthcare Practice Support- Light bookkeeping and administrative support- Maintain patient and prospective patient database- Assist with monthly newsletters and promotional content- Coordinate speaking events (4–6/month): scheduling, logistics, preparing and sending materials to printers, drafting and sending follow-up communications (email, text)- Social media management: posting, basic engagement, and scheduling content (with AI assistance)Professional & Business Ventures Support- Calendar management for multiple business ventures- Maintain and update a weekly critical to-do list with assignments and progress tracking- Assist with short-term rental operations: coordinating with cleaners and vendors using Hospitable, responding to guest inquiries and calls (via virtual phone line), social media posting and reputation management (reviews, guest engagement), drafting communications to prior guests for repeat stays- Light bookkeeping and financial recordkeepingAdditional Expectations- Weekly alignment meeting with both business owners to review critical priorities- Proactive use of AI tools to streamline communications, content creation, and task automation- Maintain professionalism, reliability, and responsiveness in all communications- Ability to evolve with the role as business and personal needs growRecommended Additions for Clarity- Tools & systems used (QuickBooks, Hospitable, Google Workspace, social media schedulers, etc.)- Confidentiality clause (given access to personal, financial, and medical information)Monday to Friday from 8 AM to 5 PM with 1 hour unpaid breakRequirements
