- Supervise the office management team, providing guidance and support as needed.
- Oversee the maintenance, cleanliness, and functionality of all office facilities including workspaces, meeting rooms, kitchen areas, and common areas.
- Manage office supplies inventory, procurement, and vendor relationships.
- Oversee office space allocation, layout, and utilization to optimize efficiency and accommodate organizational needs.
- Ensure compliance with health and safety regulations and emergency preparedness protocols.
- Monitor compliance with safety regulations and conduct regular safety inspections.**Executive Assistance Support Oversight**:- Supervise the executive assistance support team, providing direction and mentoring to ensure high-quality support to executives.
- Coordinate executive calendars, meetings, and travel arrangements as needed.
- Serve as a point of escalation for complex or sensitive issues requiring executive attention.**Travel Support Oversight**:- Lead the travel support efforts in coordinating travel arrangements for employees, including flights, accommodations, transportation, and visas.
- Establish and enforce travel policies and guidelines to ensure compliance and cost-effectiveness.
- Monitor travel-related expenses and reconcile invoices to maintain budgetary control.
- Provide guidance and assistance to the travel support team in resolving travel-related issues and emergencies.**Budget Management and Cost Control**:- Develop and manage departmental budgets, ensuring alignment with organizational goals and financial targets.
- Monitor expenses, analyze variances, and identify opportunities for cost savings and efficiency improvements.
- Review and approve expenditures, contracts, and vendor agreements by budgetary guidelines.
- Collaborate with finance and accounting teams to ensure accurate reporting and forecasting of expenses.**Maintenance and Facilities Management**:- Oversee maintenance and repair activities for office facilities, equipment, and infrastructure.
- Coordinate with facilities management vendors and service providers to ensure timely resolution of issues.
- Conduct regular inspections to assess the condition of facilities and address any maintenance concerns.**Requirements**:- Proven experience in office management, executive assistance support, and travel coordination, in a supervisory or managerial role.
- Strong leadership and team management skills, with the ability to motivate and develop a diverse workforce.
- Excellent communication, interpersonal, and problem-solving abilities.
- Proficiency in budget management, financial analysis, and cost control principles.
- Knowledge of relevant regulations and best practices in office management, travel management, and facilities maintenance.
- Ability to prioritize tasks, meet deadlines, and adapt to changing priorities in a dynamic environment.
- Effective communication skills, both written and verbal in English. Spanish and/or Portuguese is desirable.
